For custom work, we may rely on the information, artwork, files, instructions, and approvals you provide. You are responsible for reviewing all details before placing your order and before approving any proof.

4. Quotes and Estimates

Quotes and estimates are based on the information available at the time they are provided. A quote may change if the scope of work changes, if artwork requires additional cleanup, if materials change, if rush production is requested, or if additional customization is added.

Unless otherwise stated, quotes are valid for 10 days.

5. Customer-Provided Artwork, Logos, and Files

If you upload, email, or otherwise provide artwork, logos, photos, business card files, graphics, designs, trademarks, text, or other content, you represent and warrant that:

  • You own the content, or you have permission to use it;

  • The content does not infringe another person’s copyright, trademark, publicity rights, privacy rights, or other rights;

  • The content does not violate any law;

  • The content does not contain harmful code, malware, or malicious files;

  • You authorize us to use the content to review, prepare, customize, engrave, produce, fulfill, and support your order.

We are not responsible for verifying ownership, trademark rights, copyright rights, or licensing rights for customer-provided content.

You agree to indemnify and hold harmless JR Coleman Laser Engraving from any claims, costs, damages, or expenses arising from content you provide, including claims of copyright infringement, trademark infringement, unauthorized use, or violation of third-party rights.

6. Artwork Quality and File Requirements

Engraving quality depends heavily on the quality of the artwork or files provided. Low-resolution, blurry, pixelated, compressed, distorted, or poorly prepared files may produce lower-quality results.

We may request a higher-quality file or offer artwork cleanup or design preparation for an additional fee.

You are responsible for confirming that spelling, names, phone numbers, addresses, QR codes, website URLs, logos, layout, and design details are correct before production begins.

7. Proofs and Customer Approval

For certain custom orders, we may provide a digital proof or mockup before production. Proofs are intended to show general layout, placement, text, and design direction. Proofs may not perfectly represent final engraving depth, color, contrast, material texture, or finish.

You are responsible for carefully reviewing all proofs before approval, including:

  • Spelling

  • Names

  • Contact information

  • Dates

  • QR codes

  • Website URLs

  • Layout

  • Logo placement

  • Design size

  • Product details

  • Quantity

  • Material

  • Color or finish

Once you approve a proof, you authorize us to begin production. We are not responsible for errors that were present in an approved proof.

Changes requested after proof approval may not be possible and may require additional fees.

8. Order Acceptance

Submitting an order does not guarantee acceptance. We reserve the right to refuse, cancel, or limit any order for any reason, including but not limited to:

  • Inaccurate pricing or product information

  • Suspected fraud

  • Unavailable materials

  • Inappropriate, offensive, or unlawful content

  • Content that may infringe another party’s rights

  • Technical errors

  • Production limitations

  • Safety or legal concerns

If we cancel an order after payment has been made, we will issue a refund for the canceled portion unless otherwise permitted by law.

We reserve the right to refuse to produce any content we determine, in our sole discretion, is inappropriate, unlawful, unsafe, or inconsistent with our business standards.

Prohibited content may include, but is not limited to:

  • Threatening, harassing, or defamatory content;

You agree to provide accurate billing and payment information and authorize us or our payment processor to charge the payment method provided for your order.

You are responsible for any taxes, duties, customs fees, or other charges that may apply to your purchase.

12. Production Times

Production times vary depending on product type, order size, material availability, artwork quality, proof approval timing, workload, and customization complexity.

Any production time listed on our website or provided in communication is an estimate, not a guarantee, unless we expressly state in writing that a specific deadline is guaranteed.

Production time usually begins after payment, receipt of required information/files, and proof approval, if a proof is required.

13. Shipping and Delivery

Shipping times are estimates and may vary based on the shipping carrier, destination, weather, holidays, supply chain issues, or other factors outside our control.

We are not responsible for delays caused by shipping carriers, incorrect addresses, missed deliveries, customs processing, weather, natural disasters, or other circumstances outside our control.

You are responsible for providing a complete and accurate shipping address. If an order is returned due to an incorrect or incomplete address, you may be responsible for additional shipping costs.

Risk of loss may transfer to you when the order is delivered to the shipping carrier, unless otherwise required by applicable law.

14. Shipping Delays

We make reasonable efforts to ship orders within the stated or estimated timeframe. If we cannot ship within a promised timeframe, we will handle delays as required by applicable law.

If no specific shipping timeframe is stated, we will make reasonable efforts to ship within 30 days, unless a different timeline is clearly communicated and accepted.

If a delay occurs, we may contact you with an updated timeline, the option to accept the delay, or the option to cancel and receive a refund for the unshipped portion of the order, where required by law.

15. Local Pickup

If local pickup is offered, you are responsible for picking up your order within the timeframe communicated.

Orders not picked up within 10 days may be considered abandoned unless other arrangements are made. We may charge storage fees or dispose of abandoned items where permitted by law.

16. Cancellations

Because custom products often require design time, material preparation, and production setup, cancellation options may be limited.

Cancellation requests are not guaranteed. If production, engraving, customization, material cutting, design work, or special ordering has already started, the order may not be cancelable or may only be partially refundable.

If we approve a cancellation, any refund may be reduced by costs already incurred, including design time, proof preparation, materials, payment processing fees, production labor, or other non-recoverable costs.

17. Returns and Refunds

Because many of our products are custom-made, personalized, engraved, or made to order, custom products are generally final sale and are not eligible for return or refund unless they arrive damaged, defective, or materially different from what was approved or ordered.

Non-custom products, if offered, may be eligible for return only under the return policy stated on the product page or communicated at the time of purchase.

We may offer, at our discretion and where appropriate:

18. Damaged, Defective, or Incorrect Orders

  • Wrong product selection

  • Wrong quantity

  • Mistakes approved in a proof

If we are able to correct the issue, additional charges may apply.

20. Product Care

You are responsible for following any care instructions provided with your product or listed on our website.

Engraved, wood, leatherette, slate, metal, coated, painted, or customized products may require special care. Damage caused by improper cleaning, dishwasher use, soaking, harsh chemicals, high heat, impact, scratching, outdoor exposure, or misuse is not covered unless otherwise stated.

21. Color, Material, and Engraving Variation

Due to the nature of custom engraving and physical materials, variations may occur.

You understand and agree that:

  • Wood grain may vary;

  • Leatherette texture and color may vary;

  • Slate edges, thickness, and surface texture may vary;

  • Metal finishes and engraving contrast may vary;

  • Screen colors may not match physical products exactly;

  • Engraving appearance may vary by material, coating, lighting, and viewing angle;

  • Handmade or custom products may have minor variations.

These variations are not defects unless the product is materially different from what was ordered or approved.

22. Gift Cards, Store Credit, and Promotions

If we offer gift cards, discount codes, promotions, or store credit, they may be subject to additional terms.

Promotions may be changed, limited, or discontinued at any time unless otherwise stated. Discounts may not apply to previous purchases, custom quotes, shipping, taxes, rush fees, or special orders unless expressly stated.

23. Rush Orders

Rush production may be available for an additional fee. Rush fees are not guaranteed unless confirmed in writing.

Rush fees cover prioritized production efforts, not guaranteed delivery by a carrier unless a specific shipping service is purchased and guaranteed by the carrier.

24. Intellectual Property

All website content, including text, photos, product images, graphics, logos, layout, designs, and branding created by JR Coleman Laser Engraving, is owned by or licensed to JR Coleman Laser Engraving and may not be copied, reproduced, modified, distributed, or used without written permission.

You may not use our website content, product photos, mockups, designs, or branding for commercial purposes without written consent.

25. Designs Created by Us

If we create custom artwork, layouts, mockups, design files, engraving files, templates, or production files for your order, those production files remain our property unless we expressly agree otherwise in writing.

Your purchase of a physical product does not automatically include ownership of editable design files, source files, templates, vector files, engraving files, laser files, or production files.

If you want to purchase design file rights or editable files, that must be agreed to separately in writing and may require an additional fee.

26. Permission to Display Work

Unless you request otherwise in writing, you allow us to photograph, record, and display completed products for portfolio, website, social media, advertising, and promotional purposes.

We will make reasonable efforts not to publicly display private contact information, sensitive information, or confidential customer details.

If you do not want your order shown publicly, you must notify us in writing before production or shipment.

27. Reviews and Testimonials

If you leave a review, testimonial, comment, photo, or social media tag, you authorize us to use, display, reproduce, and share that content for marketing, promotional, and business purposes, unless prohibited by law.
